MatroX-Sales Insurance is an information system created to support sales of insurance policies by insurance institutions. The system supports various sales channels of insurance products and services such as a broker, partner, agent, internet sales, call-center. MatroX-Sales Insurance system is designed to support business processes and to realize data flow which is to shape these processes in the future in order to provide satisfactory quality of customers servicing.

Functionalities for insurance agents/brokers

  • work support - creating and enforcing work standards, creation and implementation of unified rules by the Management Board. Agents have constant access to updated information about products, promotions, prices. They have also a user friendly interface for sales registration, money collection, contracts and other documents printing needed in agent´s work.
  • work organization - supports developed tasks scheduling (an agenda of meetings with all customers and tasks planned for the following days). Tasks related to expiration of policies are automatically added to a calendar and at a proper time reminded an agent.
  • base of customers with a history of contacts - it is created by insurance agents. The authorization system watches so that agents had access only to their own customers. It is possible to integrate the base of customers with an external customer data source.
  • data actualization - takes place automatically, when local data bases located on agents´ computers are exchanged with the central data base. The process is called ´synchronization´.
  • agents´ commissions - they are calculated automatically, managed and obtained from exact calculation forms and generated from reports demanded by the insurance company.

Functionalities for HQ

  • fast and easy access to data is possible because all data, in a standardized format, is located in the central data base. A user friendly interface provides easy navigating and searching for relevant data. Due to a robust reporting system it is possible to view aggregated and statistical data and perform complex analyses.
  • organizational structure management reflects the real employment structure in a company. An administrator of the system can introduce data related to a new department, virtually add a new employee in any department or remove the whole department and move its employees to other existing ones.
  • internal communication is available for all users of the system. It is a sort of an internal email system where messages can be sent to all employees separately and in groups, and responses received.
  • employees assessment is performed due to rules constructing which indicate employees´ efficiency level, profitability or KPI (Key Performance Indicators) efficiency.
  • new insurance products creation is granted at Managers Board level. The operation is supported by statistics provided by the system, i.e. how the market is interested in certain insurance products.
  • report module allows defining new reports, basing on previously defined patterns. Results of reports can be grouped, filtered and presented in various kinds of graphs and exported to MS Excel system. The module allows report catalogues constructing and distributing them to the chosen users which guarantees company´s information confidentiality.
  • sales and profits planning for the future periods is possible when results of precise and reliable statistics and analyses of current sales are available. Planning is possible at every organizational level. The system supports planning, distributing information about plans to all employees and current control of realization of plans.
  • market research is supported by statistics calculated on the basis of all available data in the system. As an additional option the system offers polling company´s own employees and clients. The system allows to define questionnaires and distribute them to employees to have them filled out. Questionnaires can be addressed to employees of every level as well as to the clients.
  • marketing is also strongly supported by the system. Having the central data base filled with data of all its clients, an insurance company can perform actions such as mass-mailing, or any other kind, in order to inform and promote its new products.

Architecture of MatroX-Sales Insurance

A crucial role in MatroX-Sales Insurance is played by the central data base which acquires all information about the sales network from clients´ applications (applications installed on insurance agents´ mobile computers or on computers in sales points of an insurance company) and cooperating systems (eg. accounting system, HR system, etc.). Clients´ applications allow introducing and saving information about every customer and sales points and sending this information to the central data base. It also allows acquiring information from the central data base previously introduced there in company´s HQ. Drawing data from and introducing updated data to the central data base is performed through the synchronization mechanism.
